HOW TO PLAN A TRIP WITH A LARGE GROUP

A trip might be hectic in planning and a trip with a big group might prove to be more stressful. However, the following tips will help any group be able to plan a trip successfully.

Firstly, the group should be made up of people who you really get along with. This will help in avoiding fights during and after the trip. The group may be made up of family members, for a family reunion, it might be a Bachelor party or just a simple getaway with friends.

Know the people in the group

Having known the people in the group, you should all appoint a group travel leader. This leader is the first point of contact and ensures all travel documents and plans are in order. The leader also makes sure that all the passports are up to date and if any is due for expiry, it should be renewed immediately.

Set Time

The next thing should be setting the appropriate time for the trip which should suit all the group members. This should be followed by listing all the must do activities. However not all the activities may be done during the trip so voting should be done in a very democratic manner. The most voted for activity should be put in the timetable. Make the timetable and give everyone the dates and time for each activity you set to do. The most important thing as a group leader is to do is be very patient with people and flexible.

Organize your activities

Remember not to be over ambitious so that you may not get disappointed after and during the trip. Limit the number of outings or activities to one per day like museum trips and a visit to the caves and historical sites around. Ensure you create enough time for rest during a day. For example, reading a book by the pool or a visit to a historical site in the morning but rest during throughout the other part of the day.

Money Matters

Money is a very sensitive topic and agreeing beforehand would avoid much conflict later or during the trip. Decide on the budget range as a group so that everyone is aware. Also learn about the currency you will deal with and their exchange rates. Make sure everyone is ready with their credit cards for payment of hotels, food and transport.

Book flights early in advance. Research for group airfares to get large discounts. Hiring a travel agent might be costly but will prove appropriate to avoid confusion during the trip. The travel agent would assist in booking of hotel rooms as early as possible.

Renting a house

For family reunions, it is advisable to rent a house. This would help in having breakfasts together; unlike in hotels where anyone goes for breakfast anytime. You are also able to spend quality time together and cook what you want for yourselves. There is also ease of access to snacks.

Group adventures are better off in a resort. Here, you will find a spa, golf course and kite sailing activities, not to mention a swimming pool. In a resort, meal times are easy with large dining rooms and tables enough for everyone. There are also borne fires at night where members in the group get quality bonding time.

Mode of Transport

Travel is another key part in your trip. This is not necessarily flights but the short trips to and for the hotel or resort. Mini vans maybe appropriate to a museum or a historical site. Taxis, uber and rental bikes might also help in traveling to and from the beach. Booking the travel vehicles early would help save a lot of time compared to ordering them whenever you want to travel.

Plan ahead

Routes to use during your travel would help save time and getting lost . This should be enhanced by the apps used for travel like google maps which help you navigate your way to a destination. Planning an early visit to the various destinations by some members, the group leader included, would be of great importance. A visit to the resort and hotel(s) would also be very helpful so you can ensure that the rooms intended for use are ready. The pre-visit should be done like a week or two prior the actual trip.

Communication

Communication is a very delicate item that should be upheld during the entire trip. The group leader being the point of contact, the group should have a simple means of communicating to each other. This can be done by creating communication groups and ladders from the group leader to each member of the group. This would also be appropriate if a group is divided up among several cars.

Hiring of baby sitters if there are any children would help. The adults would have great time without having to worry about their children.

Food

The stomach is a key part of the body; and if not well taken care of, might make the whole trip a disaster. Meals should be planned for prior the trip. The meals should be different every day to reduce monotony. The group leader should access and obtain the menus of the different hotels, resorts or restaurants to be used for dining during the entire trip.

Weather and Dressing

Dress code is another thing that should not be left out. The group should decide on what to wear during what time and event. For example, bikinis and swim suits should be carried and worn while going to the beach. A casual look would suit while visiting a museum or a historical site. If possible, a certain color might be worn when going to a public place to help in identifying people in your group.

Safety Tips

Safety should be upheld during the entire trip. This may be done by organizing a safety seminar to educate the group members on the safety precautions they should take. For example, the use of a first aid kit in case of small incidents and accidents. The group leader should ensure that one or two first aid kits are carried during the trip.

Photos and Videos

What is a trip without memories? Obviously, it would make less impact to the group members. A camera or two should be carried to have major group pictures and personal ones in that case. Memories are not bought and so every detail in the trip should be well captured and maybe kept in a group album.

With the above tips, I believe any group would be ready to hit the road for a very exciting trip and quality time together.
